Purchasing Specialist

As a Purchasing Specialist, you will be responsible for managing and executing purchasing activities for facility management operations, ensuring the timely, cost-effective, and compliant procurement of materials, spare parts, consumables, equipment, and services.

You will handle supplier sourcing, quotation analysis, negotiations, purchase orders, and delivery follow-up while maintaining strong supplier relationships and supporting operational requirements across FM sites.

Responsibilities

  • Manage the purchasing cycle from Purchase Requisition (PR) through supplier selection, quotation comparison, purchase order issuance, and delivery follow-up.
  • Source and evaluate suppliers for MEP spare parts, cleaning materials, consumables, tools, equipment, and FM-related services.
  • Obtain and analyze quotations, negotiate prices, payment terms, lead times, and commercial conditions to achieve the best value.
  • Coordinate with Operations, Maintenance, Warehouse, Finance, and Commercial teams to ensure timely fulfillment of site and project requirements.
  • Maintain purchasing records, monitor supplier performance, track purchasing costs, and identify opportunities for cost reduction and process improvement.

Must Have

  • Bachelor’s degree in Supply Chain, Procurement, Business Administration, Engineering, or a related field.
  • 1–2 years of experience in purchasing/procurement, preferably within facility management, construction, MEP, or service industries.
  • Strong experience in supplier sourcing, quotation analysis, negotiation, and vendor management.
  • Good knowledge of purchase orders, procurement procedures, payment terms, delivery follow-up, and supplier evaluation.
  • Proficiency in Microsoft Excel and ERP/procurement systems, with strong analytical and organizational skills.
